How to register a lesson

The "Register lesson" screen is the first tab at the bottom of the app (on a computer: in the side bar).

  1. In the "Date" field pick a date from the calendar. By default today's date is shown, and you can also pick a past or future date.
  2. Pick a time: either one of the "Quick times" (default 16:15, 17:15 and 18:15), or the "Another time" field, on a 24-hour clock, for example 16:15.
  3. Tap the names of the students who took part. The names are arranged by class, and anyone without a class appears under "No class (private student)". Tapping again cancels the selection.
  4. Tap "Register lesson". The button shows how many students were selected, for example "Register lesson (1 selected)".
  5. The message "Lesson registered successfully" appears. The student selection is reset and the date returns to today, so you can register the next lesson right away.

The "Register lesson" button is active only after a time and at least one student were chosen. If no student is selected, "Select at least one student" appears.

If "No classes or students yet" is shown, first add a class and students: tap "Go to Classes".

Private or group, and how the price is set

  • The system decides by itself: a lesson with one student is a private lesson, and a lesson with two or more is a group lesson. There is nothing to tick.
  • Every student in a group lesson owes the "Rate for a group lesson (ILS)". A student in a private lesson owes the "Rate for a private lesson (ILS)". Both rates are set in "More" > "Settings".
  • The price is recalculated by the current number of participants. If you remove a student from a group lesson and one is left, the lesson becomes private and its price changes accordingly.
  • You can set an exceptional price for a specific student in a specific lesson: see "Edit price" below.
  • Changing a rate in Settings always affects new lessons, and affects lessons not yet paid according to your choice: see the chapter on Settings.

What to do after registering

  • Anyone who has not paid appears on the "Collection" screen with their total debt. See the chapter on collection.
  • All of a student's lessons are visible on the "History" screen.

Editing a registered lesson: the "History" screen

There is no screen for changing the date or time of a registered lesson. If you made a mistake in the date or time, cancel or remove the lesson and register it again.

All actions on an existing lesson are done in "History":

  1. In "Student" pick the student. The list is open right away, with every student by class. To shorten it, pick one class in "Class", or "Private students (no class)".
  2. You can narrow to one month in the "Month" field: the arrows go a month back or forward, and tapping the month name opens a list of months. "All time" shows everything again.
  3. "Clear filters" puts every field back to the start.
  4. The student's lessons appear, newest first. Each row shows date and time, lesson type ("Private" or "Group"), status ("Paid" or "Unpaid") and price. At the top there are summaries of "Paid" and "Unpaid".

Edit price

In the lesson row tap "Edit price", type an amount in the "Edit lesson price" window and tap "Save". To go back to automatic pricing, leave the field empty and save. A price that was edited by hand does not change when you change a rate in Settings.

Marking payment and cancelling it

  • "Mark as paid" marks that the student paid for this lesson, at the price that applies at the moment of marking.
  • "Cancel payment" (with confirmation) returns the lesson to "Unpaid", and it appears again in Collection.

Cancel a lesson

  1. In the lesson row tap "Cancel lesson".
  2. In the "Cancel this lesson?" window tap "Yes, cancel the lesson". The lesson is cancelled for everyone in it.
  3. The message: "Lesson cancelled".

What happens: the lesson stays in the history marked "Cancelled", and nothing is owed for it. If a payment was already marked for the lesson, the amount is kept as credit: "Credit" appears in the row, in the "Credit from cancelled lessons" summary, and on the Collection screen. The credit is shown but is not automatically deducted from another debt. If the money was returned to the parent, tap "Cancel payment" on the cancelled lesson and the credit will be removed.

Restore a cancelled lesson

In the row of a cancelled lesson tap "Restore lesson" and confirm. The lesson becomes active again, and anyone who has not paid for it appears in Collection again.

Remove a student from a lesson

  1. In the lesson row tap "Remove from lesson".
  2. The window "Remove this student from the lesson?" shows in advance what will change: if one student is left the lesson becomes private, and if the price of whoever remains changes, it says so there. The action cannot be undone.
  3. If this is the only student in the lesson, the whole lesson is deleted. To keep it in the history, use "Cancel lesson".

When the account is locked (read-only)

Registering lessons, editing a price, marking payment, cancelling and removing are blocked when the account is read-only, and instead the banner "This account is read-only right now. You can view and export, but not save new changes." appears. Viewing the history and exporting to Excel keep working. Details are in the plans and billing chapter.
