Managing students as a music teacher: calendar, cancellations, payment

A weekly schedule with three coloured lessons and two music notes beside it
A music teacher's week: lessons, cancellations and payments in one place

The short answer: for a music teacher most of the work is a fixed weekly lesson, so good management starts with a calendar where each student "sits" in their own slot, without you entering it every week. On top of it two simple rules: until when one cancels without a charge, and how one pays - monthly or by package. When those three are clear, you are left to deal only with the exceptions: a holiday, a performance, a sick student.

What is different for a music teacher

A private math tutor gets many enquiries before an exam, and then quiet. For a piano, guitar or violin teacher the picture is different:

  • A fixed weekly lesson across a year. The same student, the same day, the same hour. Far fewer "when is convenient for you this week?".
  • Cancellations that repeat. Another activity that moved, a school trip, an illness. Without a clear rule, every cancellation becomes a negotiation.
  • Performances and rehearsals. Before a recital an extra lesson or a long lesson is sometimes needed, and after the performance there is a calm week.
  • Long vacations. Holidays, the summer break, and maybe a vacation of yours. The fixed lessons need to "skip" them without deleting the whole plan.
  • Ensemble lessons. Two or three students together, at a different price from a one-on-one lesson.

So what a music teacher needs from a management tool is first of all a weekly calendar with fixed lessons, and then collection that works with it. What else is worth having in such a tool you will find in a student management app for a private tutor.

A weekly calendar: a fixed lesson and free slots

In Teaching the calendar is in the "Studio" module, which you turn on in the settings. It is off by default, and whoever does not turn it on sees no change.

A fixed lesson

You choose a student, a day of the week and an hour. The system creates lessons for the next 12 weeks, and every night adds more, with no duplicates. A few things worth knowing:

  • A future lesson is not a debt. The lesson enters the student's debt only after it has taken place.
  • Changing the day or hour (for example, the student moved from an activity on Tuesday to Wednesday) moves the future lessons. Lessons that you already handled by hand do not move.
  • A holiday or a vacation of yours: you cancel the lesson from the calendar. A cancellation by the teacher always exempts from a charge, and the other fixed lessons continue.

Free slots for make-up lessons

Before a performance, or when a student cancelled in time and wants to make up, you can open a "free time": a range of hours in which students book a lesson by themselves from their personal link. You can open it every week on a fixed day, or on a specific day only. For the details, including make-up tokens, read booking online lessons.

Ensemble lessons: in a free time you can set how many students can book the same hour. Students who chose the same hour join one lesson, and the price is set by the number of participants - a group rate when there is more than one student.

Before a performance or recital

In the weeks before a performance, students sometimes want an extra lesson. Instead of arranging each one by phone, open a "free time on a specific day" - for example Thursday afternoon in the week before the performance - and tell the students that they can book in it. Note: if the token rule is active, a student needs a token to book by themselves; you can turn the rule off in the settings, or register the lesson for them yourself. Such a lesson is registered like any other lesson, and enters the debt after it has taken place. After the performance, if you are giving a week off, cancel that week's fixed lessons from the calendar.

Phone versus computer

Most music teachers look at the calendar between one lesson and the next, on the phone. They plan the week in the evening, on the computer. The calendar is built for both situations:

On a phoneOn a computer (wide screen)

What you seeLessons with a tag ("Weekly", "Make-up", "Cancelled", "Late cancellation - charged") and free timesThe same, the whole week at a glance

Navigation"Previous week", "This week", "Next week"The same

Cancellations: one rule instead of an argument every week

In the Studio settings you set how many hours before the lesson one can cancel without a charge (the default is 24). What happens afterwards is automatic:

  • A cancellation in time: the lesson is marked "Cancelled", there is no charge, and according to the rule the student receives a token for a make-up lesson.
  • A late cancellation: the lesson stays and is charged like a lesson that took place. If you want to waive it (the student was sick, for example), you cancel the lesson yourself from the calendar.

The student sees the rule before they press "Cancel lesson": the screen tells them in advance whether the cancellation is on time or late. That way the parent knows what happens before cancelling, not after. The full wording of the rules is worth writing in your terms too, and see terms for private lessons.

Monthly collection versus a package

For a fixed weekly lesson there are two common collection methods. There is no single right answer, and you can combine them.

Monthly collection

At the end of the month every lesson that took place, and every late cancellation, is in the student's debt in the "Collection" screen. From there you send the parent a ready WhatsApp message with the list of lessons and the amount, and when the parent pays you mark "Paid". The system does not send by itself: WhatsApp opens with the message, and you press "send".

An example (illustrative numbers only): a piano student, a lesson every Monday, NIS 120 per lesson. In the month there were four lessons, one of them cancelled in time. The debt at the end of the month: three lessons, NIS 360.

More on collection methods and reminders: collecting payment for private lessons.

A package

The parent pays in advance for a number of lessons, for example ten. In the student's "Access" window you create a package and mark it as paid. From then on it covers the student's lessons from the day it was created onwards, from oldest to newest, and the price is divided among them exactly. When one lesson is left, a note "The package is almost used up" appears in the student's timeline, so you can ask for the next package in time. When it is worth working with a package, see lesson packages.

What the parent sees: in the student's personal link there is a "Balance due", from the same calculation that you see in the collection screen. The payment itself is made directly with you.

Frequently asked questions

How do I manage a fixed weekly music lesson without entering it again every week?

You define a fixed lesson: a student, a day and an hour. In Teaching's Studio the system creates lessons from it for the next 12 weeks and adds more every night, and the lesson enters the debt only after it has taken place.

What do I do with a lesson cancelled because of a holiday or my vacation?

You cancel it from the calendar. A cancellation by the teacher does not create a charge, and the other fixed lessons continue as usual.

Is it better to charge music students monthly or by package?

For a fixed weekly lesson, monthly collection is simple and familiar to parents. A package suits when you want money in advance and less chasing of payments. You can combine them: monthly for most, a package for whoever asks.

Can I manage the calendar from the phone?

Yes. The Studio calendar is shown on a phone as a list by day, and on a wide screen as seven columns. On a computer you can also drag on a day strip to open a new free time.
