Kit for schools
Timetables and substitutions without spreadsheets and phone calls
A short kit for a school principal and the people who decide with her: what the system does, how to start without paying until the first publication, what it costs and what is not finished yet. You can download it as a PDF and pass it on.
What does not work today
- The timetable is built by hand in a spreadsheet, and one change (a teacher who cannot do Tuesday) breaks half of it.
- On the morning a teacher is absent, someone phones the teachers one after another to find a substitute.
- At the end of the month someone puts the substitution-hours report together by hand, and people argue about the total.
What a school gets
- A timetable built with one click by a real solver: classes, subjects, groupings, double lessons and school days, and by default no gaps for classes.
- Constraints in your own words ("Ronit cannot do Tuesday"). The system shows what it understood, and every constraint waits for your approval before it enters the calculation.
- Teachers do not open an account: each gets a personal link by email, in the language they chose, and fills in constraints or answers a proposal from there, even from a phone.
- Substitutions: an absence is reported from a phone, the system suggests a substitute for every lesson, the principal approves with one click and the substitute answers on a link.
- A monthly substitution report as PDF and Excel: the total equals the detail rows, and the report cannot be changed (a correction is a new version).
- Messages in Hebrew, English, Russian and Arabic: every recipient gets an email in the language saved for them.
How a pilot runs
The trial is free until the first timetable is published. Only then does billing start, and you have 14 days to pay.
- Register as a school and verify the email address.
- Import the teachers from a CSV file and see a preview before you confirm.
- Set up classes, subjects and groupings.
- Collect constraints: write them yourself, or send a request to all the teachers.
- Press "Build a timetable". A large school runs in the background, and an email arrives when the timetable is ready.
- Adjust: lock a cell, move a lesson and calculate again. Send it to the teachers and publish.
- Use it: substitutions, the monthly report, and one annual payment by credit card or by an invoice paid by bank transfer.
What it costs
One annual payment, by the highest number of active teachers in the period.
- Up to 39 active teachers
- 2,400 ₪
- 40 to 89 active teachers
- 3,000 ₪
- 90 teachers and more
- 3,900 ₪
per year, VAT included
- Free until the first timetable is published.
- After publication you have 14 days to pay. After that the system becomes read-only: the published timetable stays available to view, print and export.
- The charge is one annual payment only. There is no set-up fee and no extra charge per student.
Privacy and security
- Teaching School has no student records: no names, grades or attendance. It works with teachers, classes and a timetable.
- A school's data is separated from every other school at the level of the database itself.
- Teachers sign in with a single-use personal link, with no password to keep or forget.
- The data is kept in the cloud in Israel (Tel Aviv region). Reading constraints written in free text uses an external AI provider, named in the privacy policy, and the text may be processed outside Israel.
- A school can ask to delete its account: it is locked at once and the data is erased after 30 days.
What is not finished yet
- Registration as an approved vendor in the Ministry of Education's Gefen is in progress and not complete. Until it is, a school joins directly, from its own budget.
- We are opening a pilot to the first schools. The system was tested end to end in a simulated school, and not yet in a real one.
- Reading constraints written in free text uses AI and can be wrong, so every constraint waits for your approval.
- The PDF and Excel files of the monthly report are available in Hebrew and English only for now.
Questions principals ask
Do we have to install anything?
No. The system works in a browser, on a phone too. Teachers do not install anything and do not open an account.
What if no timetable can satisfy every constraint?
The system explains in words, with names, which constraints clash (for example "Dana Avraham: does not teach on Thursday"). You can drop a rule or change it and calculate again.
How long does it take to get a timetable?
A small school gets a timetable within minutes. A large school (more than 400 lessons a week) runs in the background, and an email arrives when the timetable is ready.
How do we pay?
By credit card on the payment provider's page, or by an invoice paid by bank transfer. The annual payment is collected once.
What happens if we do not pay?
After 14 days without payment the system becomes read-only: the published timetable stays available to view, print and export.
Who sees the timetable before it is published?
Only the people the school sent it to. A teacher gets a proposal on a personal link and can respond, and publishing turns a version into the published one.
